A voicebot is an AI system that understands spoken language and answers by itself, on the phone, at a practice reception desk or in a video call. Instead of pressing 1 or 2, callers simply say what they need, and you decide beforehand what the assistant handles itself and when a person takes over.

In brief
  • It answers calls, asks follow-up questions and hands over to your team.
  • Under Art. 50 of the EU AI Act, callers must be told they are talking to an AI unless this is obvious.
  • In Germany, recording a call without authorisation is a criminal offence under Section 201 of the Criminal Code.

What sets a voicebot apart from a phone menu and a chatbot

A phone menu only knows fixed paths, so anyone whose request does not fit ends up on hold or hangs up. A voicebot listens instead, asks when something is missing and follows rules you give it to decide whether it can handle the matter itself. The term is also searched for as AI voice agent, voice agent AI or phonebot.

What separates it from a chatbot is mainly the channel. Spoken language is messier than typed text, and general speech recognition often stumbles over technical terms, which is why we tune each system to your industry's vocabulary and test it on real conversations.

Where a voicebot is worth it for your business

Answering calls, taking appointment requests and an initial triage at reception work well. With a complaint the bot captures the request at most, and advice stays with your specialists.

What a voicebot has to tell callers and when it may record

The AI notice may only be left out when it is obvious to callers that no person is speaking, and with a good synthetic voice that is rarely the case, so it belongs in the first sentence of the greeting. Whether a call is recorded or only processed as text is something we settle before the first call.

No. It takes over routine requests and the typing afterwards, while conflicts and anything that needs judgement stay with you.

What does the cost of a voicebot depend on?

On how many requests it should cover, which systems it connects to and how many calls come in. Transcription, the language model and the voice output are billed separately, plus the phone connection.
