For tradespeople, AI is most useful for the writing around a job: it drafts the wording of quotes, turns voice notes and photos from a site survey into a tidy report, sorts booking requests and prepares replies to customers. Widely used tools such as ChatGPT, Claude, Gemini or Microsoft Copilot are enough to start. Prices, measurements and commitments stay with you: the AI produces drafts, you check and approve them.

Where does AI actually help a trade business?

AI helps wherever rough notes have to become a clean piece of writing. That is the work that piles up after hours: the quote for a bathroom refit, the notes from a site visit, the reply to a customer asking for the third time when you will arrive. AI does not do the trade work itself. It shortens the path to it.

Adoption is still low. In a representative 2025 survey by Bitkom Research of just over 500 skilled trade businesses in Germany, 4 per cent said they already use AI and another 9 per cent were planning to. If you start now, you are not catching up; you can begin small and at your own pace.

How can AI write a quote without making up prices?

The rule is simple: you give the AI your figures, it does not create them. Language models write fluently, but they do not calculate reliably and they know neither your trade prices nor your day rate. Use AI for the words in a quote, not for the costing.

In practice: you price the job as usual in your job management software or spreadsheet. Then you give the AI the bullet points describing the work, without the customer's name or address, and ask for a clear job description and a short covering note. A prompt might read: “Turn these notes into a job description for a quote. Plain and factual, short paragraphs, no sales language, do not add prices or dates: strip out existing tiles, skim walls, lay large format tiles, walk-in shower with linear drain.”

Paste the draft into your quote template and check every statement against your costing. Watch for work the AI has added because it sounds typical for similar jobs. Site surveys

How does AI help you document a site survey?

On a survey the information is gathered on site but often written up hours later. AI can close that gap by turning what you capture during the visit into an organised report. The measuring is still done by a person, with a tape or a laser measure.

A practical route is the voice note. You talk through each room as you measure, have the recording transcribed and give the text to the AI with a fixed structure. For example: “Sort these survey notes by room. Keep every measurement exactly as given, do not convert or add anything. Mark any missing or contradictory detail with the word CHECK.” The marker matters: it shows you where to measure again instead of letting the AI quietly fill a gap.

Photos can help too. According to OpenAI, ChatGPT accepts images as input on the web and in the app and can describe what they show. That is useful for putting the state of a wall or the position of pipework into words. Check every description against the photo itself. And when photographing in a customer's home, keep people, post and personal papers out of the frame.

The result is a dated report you file with the job; it later shows the state of the site before work started.

Scheduling

How can AI help plan jobs and appointments?

With scheduling, AI mainly helps you sort. Requests arrive by email, phone and messaging apps, each with preferred dates, addresses and questions. If your office runs on Microsoft 365, Microsoft says Copilot in Outlook can summarise long email threads. Gemini is built into Google Workspace, including Gmail. Either way you see faster which request is still open.

For the weekly plan, give the AI a list of upcoming jobs with estimated duration, location and who is doing them, without customer names. A prompt: “Suggest an order for these jobs from Monday to Friday. Group jobs in the same town, plan no more than eight hours per day and tell me which jobs do not fit into the week.” Then check the suggestion against material deliveries, holidays and what you know about each site.

Finally, the AI can draft the appointment confirmations. The same rule as for quotes applies: date and time come from your calendar, the AI only supplies the friendly wording around them.

Customers

How can you answer customer enquiries faster with AI?

Many customer emails repeat themselves: when are you coming, roughly what will it cost, why is it taking longer. Write standard reply blocks for these cases and let the AI adapt them to the actual email. For example: “Reply to this customer enquiry in a friendly, brief way. Use only the information in my reply block. Do not mention any price or date I have not given you.”

With complaints, AI makes a good first reader. It can summarise an angry email calmly and suggest a measured reply. The decision about remedial work or goodwill stays with you. More examples are in our guide Use AI for customer service.

If customers talk directly to an AI, for example through a chat on your website or a phone assistant, Article 50 of the EU AI Act has applied since 2 August 2026: people must be told they are interacting with an AI system unless that is obvious. Which mistakes should you avoid when you start?

Most problems come not from the technology but from trusting a draft too much. These points belong in every introduction:

    Taking figures from the AI

    Prices, quantities, measurements and deadlines always come from your costing, your survey or your calendar. Any figure the AI adds is deleted or checked.

    Customer data in personal accounts

    Names, addresses and phone numbers do not belong in a personal AI account. Use a business account or enter information without personal details.

    Sending without reading

    Every text that leaves the business is read by a person first. AI can sound convincing and still be wrong.

    Trusting technical claims

    Check standards, regulations and manufacturer data at the source. An AI answer is not a data sheet or a building regulation.

    Decide who may use which tool for what. Otherwise everyone works in a different account and nobody knows where which data sits.

Obligations

What do the GDPR and the EU AI Act require of your business?

As soon as customer data goes into an AI tool, the GDPR applies. The German Data Protection Conference (DSK), the body of the independent German data protection authorities, published guidance on AI and data protection on 6 May 2024. According to it, using a cloud-based AI service will often count as processing on behalf of a controller, so you need a contract under Article 28(3) GDPR. The authorities also recommend that employers provide accounts and devices for work rather than leaving staff to use personal accounts, and that you check whether your inputs are used for training.

For ChatGPT this means: OpenAI offers a data processing agreement to business customers, not for personal accounts. If you want to process customer data, you need a business account. Many tasks in this guide work without personal data anyway: notes about the job, survey records without names, anonymised examples.

Then there is the EU AI Act. Article 4 has applied since 2 February 2025 and, since 27 July 2026, in the version amended by the Digital Omnibus, Regulation (EU) 2026/1744: organisations that use AI systems must take measures that support the development of their staff's AI literacy, whatever their size or sector. A specific level of competence per person is no longer required, and a certified course is not prescribed. Handing out logins is not enough, though: your team should know what the tools can do, where they get things wrong and which data is off limits. Which tools are a sensible place to start?

You do not need specialist software to begin. An AI chat such as ChatGPT, Claude or Gemini covers quote wording, reports and email drafts. According to OpenAI you can also talk to ChatGPT by voice in the app, handy for notes in the van while it is parked.

If your office already uses Microsoft 365 or Google Workspace, the built-in assistant is a natural next step: Microsoft Copilot in Outlook, Word and Excel, or Gemini in Gmail and Docs. Can AI write a complete quote for a trade job?

AI can draft the wording of a quote, meaning the job description and covering letter. The costing with quantities, prices and deadlines belongs in your job management software or spreadsheet. Do not accept any figure the AI has added without checking it against your costing.

Can I put customer data into ChatGPT?

Not with a personal account. For personal data you need a business account, a data processing agreement under Article 28 GDPR and settings that exclude your inputs from training. For many tasks, bullet points without names or addresses are enough.

Can AI do the site survey for me?

No. Measuring is still done by hand. AI can turn your voice notes and photo descriptions into an organised report. Ask it to mark missing or contradictory details and measure those again.

Which AI tool suits a small trade business?

To start, an AI chat such as ChatGPT, Claude or Gemini with a business account is enough. If your office uses Microsoft 365 or Google Workspace, the assistant built into it is an option. Clear rules on who may do what matter more than the choice of tool.

Do I have to train my staff on AI?

An email you draft with AI, check yourself and send under your own name is not covered by the disclosure duty for chatbots. If customers talk directly to an AI, for example in a website chat or on the phone, they must have been informed of that since 2 August 2026, unless it is obvious.
